    The GLA (Greater London Authority) and TRP (The Royal Parks Agency) are seeking expressions of interest from parties who would like to promote large-scale public events in Hyde Park during the two weeks prior to and throughout the Olympic Games (circa 14.7.2012 – 13.8.2012), and further public events at 2 smaller locations in Central London during the Olympic and Paralympic Games period (to circa 9.9.2012).

    This opportunity forms part of the GLA’s London Live Site programme.

    We expect to let one contract to one successful tenderer for the running and operation of all 3 sites during the operational period.

    Applicants will need to demonstrate that they have sufficient experience and financial backing to carry out their proposed event successfully.

    Organisers without previous experience of promoting events on a similar scale to that which they are proposing will not be considered.

    Within the programme of events, we would expect there to be big screens showing the Games and other content, together with a variety of event types, such as music concerts, sports participation events, exhibitions; outdoor arts and cultural events (subject to planning constraints). We would expect the successful tenderer to demonstrate experience of staging such a variety of similar events.

    Large-scale music concerts will provide commercial opportunities, which will be paid for ticketed events with an expected audience of up to 50 000 in Hyde Park. The successful tenderer will retain all revenue raised from ticket sales in Hyde Park. (The 2 smaller sites will accommodate between 4 500 – 7 500 people and will therefore offer limited/no opportunity to raise revenue from commercial concerts at these sites.).

    In addition, the successful tenderer will have the opportunity to raise revenue through sponsorship, unbranded concessions, hospitality and merchandise across all three sites, with the caveat that sponsorship must only be sought from the official Olympic sponsor family and Paralympic sponsor family during the Paralympic period only.

    Broadcasting rights are owned by the IOC during the Olympic period but may be available to the event promoter in the operational period before the Olympics begin (to be confirmed).

    There will be a cap on the number of commercial music concerts that operate during the operational period of the Festival Live Sites.

    In return, the GLA & TRP require all infrastructure costs across the three sites to be paid for by the successful tenderer, require a fee to be paid to TRP, and expect a comprehensive and varied free-to-access / accessible programme to be co-developed with the GLA and made available to the public during the operational period.
